Day & Night Party Rentals No Surprise Rental Policy
Please review the following rental terms, safety policies, delivery requirements, and customer responsibilities before reserving equipment from Day & Night Party Rentals.
1. General Rental Terms
By placing an order, paying a deposit, signing a rental agreement, accepting delivery, or allowing equipment to be installed on the event site, Customer agrees to all terms and conditions set forth by Day & Night Party Rentals.
All rentals are subject to equipment availability, safe site conditions, weather considerations, and final approval by Day & Night Party Rentals. The company reserves the right to refuse service, delay delivery, modify setup plans, or remove equipment if conditions are unsafe or if customer obligations under this agreement are not met.
Rental periods begin at delivery and end only when Day & Night Party Rentals picks up the equipment.
2. Deposits, Payments, and Reservations
A deposit may be required to reserve rental equipment and event dates. Orders are not considered guaranteed until the required deposit has been received and confirmed by Day & Night Party Rentals.
Final payment is due according to the payment schedule provided at booking. Failure to make payment on time may result in cancellation of the reservation without guarantee that the date or equipment can be held.
Day & Night Party Rentals reserves the right to charge additional fees for extended rental times, special delivery conditions, difficult setup access, additional labor, or damages beyond ordinary wear.
3. Delivery, Setup, Takedown, and Pickup
Day & Night Party Rentals provides delivery, setup, takedown, and pickup for many rental items, including tents and inflatables, unless otherwise stated. Delivery and pickup times are based on route scheduling, customer logistics, and operational needs.
Customer understands that exact delivery and pickup times may vary. Someone 18 years of age or older may be required to be present at delivery and setup. Customer is responsible for ensuring that the event location is available and accessible at the agreed time.
Equipment may not be moved, repositioned, modified, disassembled, or altered by Customer after setup without express approval from Day & Night Party Rentals.
4. Site Preparation and Access Requirements
Customer is responsible for ensuring that the setup area and delivery path are safe, level, accessible, and ready prior to arrival. This includes removing vehicles, furniture, toys, branches, pet waste, lawn decorations, and any other obstructions that could interfere with safe delivery or installation.
Gates must be open, access points must be wide enough for delivery, and the setup area must be clearly identified. Grass should be cut when appropriate, and the site must be free of hazards that could interfere with equipment safety or proper installation.
If the setup area is inaccessible, unsafe, too small, not level, blocked, muddy, or otherwise unsuitable for safe installation, Day & Night Party Rentals reserves the right to refuse setup without refund when site conditions were not accurately disclosed in advance. This rarely happens but we need a safe place to set up in.
5. Equipment Responsibility, Damage, Loss, and Theft
Customer assumes full responsibility for all rental equipment from the time of delivery until the equipment is picked up by Day & Night Party Rentals. Customer agrees to return all equipment in the same condition in which it was delivered, ordinary wear excepted.
Customer agrees to be financially responsible for any damage, destruction, misuse, excessive cleaning, theft, vandalism, loss, or missing equipment that occurs during the rental period. This includes but is not limited to tents, tent tops, frames, stakes, anchors, inflatables, blowers, extension cords, generators, tables, chairs, linens, concession equipment, and accessories.
If any equipment is damaged beyond repair, lost, stolen, or not returned, Customer agrees to pay the full replacement cost of the item, plus any related labor, transport, repair, cleaning, collection, or downtime expenses incurred by Day & Night Party Rentals.
6. Tent Installation Policy
Day & Night Party Rentals provides professional tent installation and removal. Tent placement will be determined based on site safety, access, anchoring requirements, space availability, and overall installation feasibility.
Customer must be certain of tent placement before installation begins. Once a tent is installed, moving it may not be possible or may require additional labor and service charges. Customer may not move, adjust, detach, or modify the tent after installation.
Customer understands that tents require adequate space, safe ground conditions, and proper anchoring. Day & Night Party Rentals reserves the right to decline or alter tent installation if conditions are unsafe or unsuitable.
7. Underground Utilities, Irrigation, and Surface Protection
Customer acknowledges that tents and certain other rental items may require staking, anchoring, or weight-based securing methods. Customer is fully responsible for identifying and marking any underground hazards or sensitive site conditions before setup.
This includes, but is not limited to, sprinkler systems, irrigation lines, septic systems, invisible dog fences, drainage lines, electric lines, gas lines, water lines, sewer lines, underground cables, decorative hardscapes, special surfaces, and recent landscaping.
Customer agrees that Day & Night Party Rentals is not responsible for damage to underground utilities, irrigation systems, septic systems, lawn areas, landscaping, patios, pavers, or similar property. Customers responsibility to call 811 dig safe if area of set up has underground utilities.
8. Weather Policy
Customer understands that weather conditions can affect the safety and feasibility of rental setup and use. Day & Night Party Rentals reserves the right to delay, reschedule, refuse delivery, remove equipment, or cancel rentals if weather conditions are considered unsafe or likely to damage equipment.
Unsafe conditions may include, but are not limited to, high winds, lightning, thunderstorms, heavy rain, flooding, saturated ground, or any other conditions that create safety concerns for guests, staff, or equipment.
Weather-related credits, rain checks, or rescheduling options, if any, are subject to company policy and management approval.
9. Inflatable Safety Policy
Customer agrees that all inflatable rentals must be supervised by a responsible adult at all times during use. Riders must follow all posted and provided safety instructions. Shoes, sharp objects, food, drinks, face paint, silly string, pets, and rough play are not permitted on or near inflatable units.
Inflatables may not be used in unsafe weather conditions. Customer agrees that inflatables must not be operated in winds reaching or exceeding 20 miles per hour, during thunderstorms, lightning, heavy rain, or any severe weather conditions. If unsafe weather develops, all riders must immediately exit the inflatable.
Customer is fully responsible for stopping use of the inflatable if weather or safety conditions become dangerous. Failure to follow inflatable safety rules may result in injury, equipment damage, immediate removal of equipment, and full financial responsibility for resulting losses.
10. Customer Conduct and Equipment Use
Customer agrees that rental equipment will be used only for its intended purpose and in a safe manner. Equipment may not be overloaded, misused, sub-rented, relocated, or used in violation of any safety instructions provided by Day & Night Party Rentals.
Customer is responsible for monitoring guests, enforcing safety rules, preventing misuse, and ensuring that no prohibited items or unsafe activities occur on or around the rented equipment.
Day & Night Party Rentals reserves the right to remove equipment without refund if customer conduct, guest behavior, weather conditions, or site conditions create a safety concern.
11. Cancellation and Rescheduling Policy
Cancellation and rescheduling requests are subject to the terms disclosed at booking. Deposits may be non-refundable depending on the timing of cancellation, equipment reserved, and scheduling commitments already made by Day & Night Party Rentals.
Requests to reschedule are subject to equipment availability and route availability on the new requested date. Weather-related changes, if offered, are subject to company approval and scheduling feasibility.
Day & Night Party Rentals reserves the right to define the timing, eligibility, and method of any credit, rain check, or rescheduling accommodation.
12. Right to Refuse or Remove Equipment
Day & Night Party Rentals reserves the right to refuse delivery, refuse setup, modify setup plans, or remove equipment at any time if staff determine that site access, customer conduct, weather, safety conditions, payment status, or other relevant circumstances make the rental unsafe, impractical, or inconsistent with company policy.
In such cases, refunds, credits, or rescheduling options, if any, will be handled solely according to company policy and management discretion.
Customer Acknowledgment
By placing an order, signing a rental agreement, paying a deposit, or accepting delivery, Customer acknowledges that they have read, understood, and agreed to all rental terms, safety rules, weather restrictions, site preparation requirements, damage responsibilities, and operating policies of Day & Night Party Rentals.
Customer further acknowledges that failure to follow these policies may result in immediate removal of equipment, forfeiture of rental fees, and full financial responsibility for any resulting damages, losses, claims, or costs.

Our goal is simple: clear expectations, fair policies, and great communication so your event runs smoothly. We believe in transparency so every customer knows exactly what to expect.
🌧 Western Massachusetts Weather Protection
Weather in New England can change quickly. Because of this we offer one of the most flexible weather policies in the Western Massachusetts party rental industry.
- Customers may reschedule their event due to weather with advance notice.
- For Saturday events, weather reschedule requests must be made by Wednesday at 12pm.
- For Sunday events, weather reschedule requests must be made by Thursday at 12pm.
- Your deposit will be fully applied to a new available date within 30 days.
- If equipment has already been loaded onto delivery trucks, the rental is considered active and cannot be refunded.
Many of our inflatables have roofs to help keep them dry during light rain. We recommend keeping your event scheduled unless the forecast calls for strong winds sustained rain throughout the day.
📅 Deposits & Rescheduling
- All rentals require a 30%–100% deposit depending on the size of the event.
- Deposits reserve equipment and remove it from inventory.
- Deposits are non-refundable but may be applied to a new event date within 30 days.
- Last-minute bookings or large events may require a larger deposit.
🚚 Delivery - Setup - Pick Up
- Customers receive a 3–5 hour delivery window a few days before the event.
- Many Saturday rentals are delivered Friday at no additional charge when possible.
- Please ensure the setup area is mowed, clear of debris and pet waste.
- A clear path of at least 3 feet is required for delivery access. Unlocked gate access to yard on pick up day
⚡ Power Requirements
Inflatables require a blower running continuously to stay inflated.
- A power outlet must be located within 75 feet of the setup location.
- If unplugged, the inflatable will deflate.
💳 Payments
- Final payment is due before equipment is set up.
- We accept cash or credit card.
- Please have payment ready upon delivery so our drivers can stay on schedule.

Customers may request copies of licensing and insurance documentation at any time.
🔧 Equipment Care
Customers are not responsible for normal wear and tear. However damage caused by negligence or failure to follow safety instructions may result in repair or replacement charges.
